Accommodation guide

A guide to when we offer accommodation, by one-way distance from your home to the training centre. We confirm accommodation for each course separately.
Distances are by road, one way, from your home to our training centre (M19 2LH).
One-way distance from home Suggested accommodation
Under 40 miles Normally no accommodation; approved travel expenses reimbursed.
40–59 miles Accommodation between teaching days may be approved if the normal one-way journey exceeds 60 minutes or travel is particularly difficult.
60–99 miles Accommodation between teaching days may be approved. The preceding night may also be approved if the journey exceeds 90 minutes or requires departure from home before 06:00.
100 miles or more Normally eligible for accommodation the night before teaching and between consecutive teaching days, subject to explicit prior approval.

Travel policy

Mileage may be claimed where your normal journey to the training venue is more than 10 miles each way. Approved mileage is normally reimbursed at the HMRC Approved Mileage Allowance rate, up to a maximum of £75.00 per course day.

If we provide accommodation, mileage is paid for one round trip for the course rather than for each day.

Claims over £75.00 a day, journeys of more than 150 miles round trip, and any request for accommodation need prior written approval from PLAB Guide Training Centre. The Centre may arrange rail travel or accommodation instead where this is better value.

Terms and conditions

Faculty terms and conditions

  1. Faculty appointments and responsibilities
All teaching appointments are subject to confirmation by PLAB Guide Training Centre. Faculty must hold the qualifications and current instructor status required for their allocated role and notify us of any changes affecting their eligibility to teach.

Faculty are expected to attend the scheduled briefing, arrive punctually and complete their allocated teaching, assessments and relevant course documentation.

  1. Teaching fees and payment
The teaching fee will be agreed before the course. Payment is normally made by bank transfer on the day of the course, subject to receipt of the required payment details and any applicable invoice. Cash payments are not available.

For courses lasting more than one day, the payment arrangement will be confirmed in advance. Any applicable VAT must be declared when agreeing the fee.

  1. Travel expenses
Travel arrangements and reimbursement must be agreed before the course. Approved mileage is calculated using the reasonable route for journeys actually made, at the rate confirmed in your faculty offer.

Public transport is reimbursed at the approved standard-class fare. Receipts are required for fares, parking, tolls and other approved expenses. Fuel costs cannot be claimed in addition to mileage for the same journey.

  1. Accommodation eligibility
Accommodation may be approved where the one-way journey is 60 miles or more, normally exceeds 90 minutes, or an early faculty arrival would require departure from home before 06:00.

For a two-day course, accommodation may include the night between teaching days and, where appropriate, the night before the course. Other circumstances will be considered individually. Eligibility does not constitute booking approval.

  1. Accommodation requests and bookings
All accommodation requests must be submitted through the faculty portal and explicitly approved by PLAB Guide Training Centre before any booking is made.

Following approval, accommodation may be arranged by the Centre. Faculty wishing to book personally must first obtain explicit written approval confirming the permitted dates and maximum reimbursable cost.

Submitting a request does not mean it has been approved. Accommodation booked without explicit prior approval will not normally be reimbursed. Additional nights, room upgrades and personal extras are the faculty member’s responsibility unless separately approved.

  1. Expense claims
Claims must include the required journey details and supporting receipts and should be submitted promptly through the faculty portal. Approved expenses received in advance may be paid with the teaching fee; claims requiring subsequent review will be paid separately.

  2. Changes and cancellations
Please notify the Centre as soon as possible if you are unable to attend or your availability changes. Any replacement faculty member must be approved by the Centre.

If the Centre changes or cancels a course, we will notify faculty promptly and discuss any previously approved, unavoidable travel or accommodation costs.

  1. Professional conduct and confidentiality
Faculty must treat candidates, colleagues and staff respectfully, follow the relevant course standards and Centre procedures, and maintain confidentiality regarding candidate information, assessments and course materials.

By accepting a faculty appointment, you agree to these terms and the fee and expense arrangements confirmed for that course.
